Setting clear expectations with parents at the start of the season prevents 90% of issues later.

Playing time is the #1 parent concern. Here's how to handle it:

  • Set it at meeting 1: "Everyone plays at least half of every game โ€” it's AYSO's rule and I believe in it fully." Say it first so parents hear it before the season starts.
  • The 24-hour rule: Ask parents to wait until the next day to discuss any concerns, not immediately after a game. Emotions are too high right after.
  • Never promise positions: Players rotate roles in AYSO โ€” this is intentional and educational. Don't promise a child will play goalkeeper or striker every game.
  • Be honest if someone is struggling: If a parent asks why their child isn't getting a particular role, be direct but kind: "We're rotating everyone through all positions this season โ€” that's how AYSO works."

Most parents are wonderful. Occasionally you'll encounter someone who crosses a line. Here's how to handle it:

  • Prevention first: A clear expectation set at meeting 1 ("positive cheering only, no coaching from the sideline, 6-foot distance, no criticising refs") prevents most incidents.
  • In the moment: If a parent is being disruptive, pause the game if necessary. Calmly and privately say: "I need you to step back and lower your voice โ€” the kids can hear everything, and this affects them." Don't argue or escalate.
  • After the game: Follow up privately. Most parents are embarrassed when cooled down and will apologise. Give them that chance.
  • If it continues: Contact Coach Admin (John Parkin). You don't have to handle this alone.

Keep it warm, brief, and practical. Here's a simple structure:

  • Hi [Team Name] families,
  • Who you are + brief background (1โ€“2 sentences)
  • When your first training session is and where
  • What to bring: water, shin guards, cleats, ball if they have one
  • Ask parents to install GameChanger and accept your team invite
  • A single policy note (positive sideline behaviour)
  • How to reach you (email or GameChanger message)

Keep it to one screen on mobile. Parents get too many emails โ€” shorter is always better. Use the template download for a ready-to-use version.
